Reports

The reporting module turns a location's data into a polished, shareable document. You choose what goes in — which sections, which charts, which records — and the platform generates matching PDF and Excel files in the background.

Overview

From a location's Reports page, click Generate Report and pick a report type (weekly, monthly, quarterly, or a custom date range). By default you get a complete report; enable Customize to fine-tune the contents through a short wizard.

Generation runs in the background — the report appears in the list as it moves from Queued → Generating → Completed. Completed reports can be downloaded as PDF or Excel from the download menu.

Consolidated reports

On the account's Reports page, select multiple locations and choose One consolidated document to produce one PDF and one Excel workbook. Separate documents remains available when you want a report for each location. A consolidated report belongs to the account and can be viewed by authorized account members.

The progress and controls below are available where durable consolidated generation is enabled for your account. Availability may vary during rollout; older reports keep their existing status and downloads. These controls do not change the separate location-report workflow.

Following progress

A report starts in Queued, then moves to Generating. During generation, the list can show the current step: finding data, collecting location data, preparing the PDF or Excel file, saving documents, or finishing the report. Available location, scene and index-calculation counts show how much work has been processed, with the most recent activity time. Active progress refreshes approximately every five seconds.

Progress is based on available work counts, not an estimated completion time. If counts report locations with errors or without data, review that coverage before using the report. An empty data result and a generation failure have different meanings.

A finished report with failed locations, locations without data or incomplete index calculations is labelled Completed with coverage warnings. Review its counts before relying on the document; a finished file does not mean all requested data was available.

Cancelling and retrying

  • Cancel is available for authorized users while a report is queued or generating. A running report may show Cancelling before it reaches Cancelled. Closing the browser is not a cancellation request.
  • Retry can appear for failed or cancelled reports when your permissions and the remaining retry/time allowance permit it. It resumes the same report entry using the saved request and any reusable progress.
  • Completed reports keep their existing downloads. Older reports without a saved durable request do not offer this retry action; generate a new report with the desired options instead.

Viewing a report does not automatically grant permission to cancel or retry it. These actions are restricted to the requester or account owner/manager, and retry checks current access to the selected locations. A temporarily paused generation service may prevent new requests and retries while existing reports remain accessible.

If the report queue is full, generation or retry shows a notice asking you to try again in a minute. The rejected request does not start extra work.

Understanding a failure

The report list shows a readable reason when available. For example, the allowed time may have expired, access to a location may have changed, documents may be too large or could not be saved, or generation may have been interrupted. Follow the displayed guidance: refresh the status, retry when offered, check permissions, or create smaller reports. No-data messages mean no usable data was available for the requested locations and period.

If location boundaries changed during generation, retry to use the current boundaries. If the selected data exceeds the report's row limit, narrow the selection or date range and create a new report.

The number of locations allowed in a request does not guarantee a completion time. The selected period, sections and available data affect the work needed. If status cannot be refreshed, the existing report status remains visible with a refresh warning.

Choosing charts

In the Charts step you decide which charts appear and how each one is drawn:

  • Content — Assets by Type, Assets by Status, Work Orders by Status, Work Orders by Priority, Alerts by Severity, Inspections by Type, and Area Trend.
  • Visualization — pick a bar, donut, pie, or line chart for each. Categorical charts support bar/donut/pie; the area trend supports line/bar.

Only charts whose underlying section is included in the report are offered, so the chart list always matches your selected sections.

Filtering the data

The Filters step narrows what the report includes:

  • Assets — filter by type, operational status, tags, and whether to include deleted assets. Asset filters also scope everything derived from assets (inspections, form responses, photos, and KPIs).
  • Work Orders — filter by status and priority.
  • Alerts — filter by severity.
  • Inspections — filter by type.

Each filter group appears only when its section is part of the report. A filtered section that ends up with no records simply renders as empty.

The location map

When the Location Map section is included, the report embeds a satellite map of the location showing the boundary and its assets. Assets are colored by type (points, lines, and polygons are all supported), and a small legend maps each color to its asset type. If the map can't be produced, the report is still generated without it.

Export formats

Every completed report is available in two formats:
